Critical Incident and Crisis Management Policy

  1. Introduction & Purpose

Senniyo Aesthetics International School is committed to providing a safe and secure environment for students, staff, and visitors. This policy outlines the school’s framework for responding to unpredictable crises with precision and agility, ensuring the continuity of operations and the protection of our community’s well-being.

 

  1. Definition of a Critical Incident

A critical incident is any sudden, unexpected event that causes significant emotional or physical distress, or threatens the safety and reputation of the school. These include:

  • Safety/Medical: Accidents, serious injuries, or accidental death.
  • Security: Violence, attempted violence, or unauthorized entry.
  • Environmental: Natural disasters (fire, earthquake, etc.).
  • Technological: Cyber-attacks or data breaches.
  • Health: Public health emergencies (pandemics) or contamination.

 

  1. Crisis Management Team (CMT)

The CMT is responsible for the immediate response and long-term recovery of the school.

Role Designation Key Responsibilities
Team Leader General Manager Policy preparation, work assignment, and primary communication liaison.
Logistics Lead School Administrator Securement of student/staff records and resource management.
Responders Instructors & Staff Front-line student safety, evacuation management, and incident reporting.
  1. Response Protocols

 

4.1 Chain of Command

To ensure decisions are made quickly, the General Manager holds final authority. In their absence, a pre-designated deputy will lead. Decisions will be communicated through established internal channels to minimize confusion.

 

4.2 Communication

  • Internal: Rapid notification via Public Address system, emergency SMS, or designated messaging apps.
  • External: The General Manager is the only individual authorized to speak with emergency services, parents, or the media to ensure message consistency.

 

4.3 Resource Allocation

The school will maintain an emergency resource kit (First Aid, student rosters, and emergency contact lists). The General Manager will prioritize these resources based on the severity of the incident.

 

4.4 Interoperability

Senniyo maintains updated contact protocols for local police, fire departments, and health authorities to ensure seamless coordination during large-scale emergencies.

 

  1. Training and Preparedness
  • Mandatory Drills: The school will conduct biannual drills (Fire, Lockdown, or Medical) to ensure staff and students are familiar with procedures.
  • Review: All staff must attend an annual briefing on this policy.

 

  1. Post-Crisis Evaluation & Amendment

After any incident, the CMT must follow these steps to ensure continuous improvement:

  1. Feedback Gathering: Within 48 hours, the General Manager will collect insights from all staff involved.
  2. Analysis: Evaluation of successes and failures to identify “why” certain protocols did or did not work.
  3. Policy Update: Findings will be used to amend this policy. Updated versions will be signed and distributed to all staff immediately.
